UNIFORM REFUND POLICY

(Revised 11/3/2024)

Levels to which Policy Applies: USA Club Rugby national level, GU, LAU, and TU Levels

Effective Date: December 18, 2024

I. THE USA RUGBY REFUND POLICY

USA Rugby’s Refund Policy can be found on its website (https://usa.rugby/policies) and states as follows:

You ARE eligible for a refund if: The request is within 7 days of the transaction and you have NOT played in any match (scrimmage, friendly, competitive, tournament etc.).

You are NOT eligible for a refund if: You have played in any match, tournament, or organized play or the transaction date is more than 7 days ago. 

By refunding / canceling your membership, you understand that: You are NOT eligible to utilize USA Rugby’s Accident Insurance Policy, you are NOT eligible to practice, compete or participate in USA Rugby activities and you are being refunded only the USA Rugby membership fees, NOT any regional fees, nor processing fees. Regional fees will need to be refunded from the region/union/SRO directly.

II. USA CLUB RUGBY CORE POLICY:

  • Subject to certain exceptions stated below, you are eligible for a refund from USA Club Rugby and your local Union if the request is made within 7 days of your initial registration AND you have NOT played in any match (scrimmage, friendly, competition, tournament, etc.).
  • By canceling your registration and requesting a refund, you understand you are NOT eligible to practice, compete, or participate in any USA Club Rugby or related activities, and that you are being refunded only the applicable USA Club Rugby and your regional Union fees, and NOT any USA Rugby or processing fees. 
  • USA Rugby, and your Club (if they collect dues through Rugby Xplorer), will make their own determinations of whether to refund their portion of your registration fees.

III. EXCEPTIONS:  

In addition to the foregoing, I propose Union and USA Club Rugby refunds may be granted in the following, limited circumstances occurring before the registrant plays in, coaches, or referees any match:

Non-rugby-related injuries or medical conditions;

EXAMPLE: “I recently had a baby in the spring and decided to come back to the team to play in the fall season. However, I discovered after a few weeks of practicing that I was not ready to continue playing and pulled myself from the season. I only just recently CIPP’ed and did not play in any sanctioned matches.”

Perceived physical or mental abuse directed at the registrant by another member of the Club; and

EXAMPLE:  “Team has cut ties with me. One player assaulted me in the pitch and others has threatened me to “watch my back” I no longer feel safe with this team. I would like a refund so I can find a new team.”

Mistaken or duplicative registrations.

EXAMPLES:  “I mistakenly dual registered as a coach and a player.  Please refund player status with Tempe.”

“I need to purchase NCR CIPP for LSU instead, I got the wrong one.”

Refunds under the exceptions would, under the current registration fee structure, only result in a refund of $15 of the $20 USA Club Rugby registration fees because the SCC will still owe USA Rugby $5, if USA Rugby denies the refund request under their Refund Policy.
